A/R Calling: Someone Has to Actually Pick Up the Phone

Aging claims rarely resolve on their own. They get paid when someone checks the status, learns why, and follows through. We do this inside your own system, for dental practices and DSOs, medical practices, and billing companies.

Claim Resolution

Where This Goes Wrong, and What We Do About It

Dental Practices & DSOs

The aging report has a long list over 60 days, and the front desk hasn't had a free hour to call a single plan. Claims age quietly while the schedule stays full.

What we do

  • Work the aging report from oldest and largest down to newest
  • Call or check the payer portal, and get a reason on every unpaid claim
  • Resubmit, appeal, or escalate based on what the payer says
  • Log each call so the next person knows what was said
Medical Practices

A claim has been "in process" for the third time running. Without somebody pushing it, it ages past 90 days, and it gets harder to collect with every week that goes by.

What we do

  • Check claim status on the payer portal first, and by phone when that falls short
  • Record the reference number, the payer rep, and the promised timeline
  • Escalate stalled claims and put the biggest balances first
  • Report aging by 30, 60, 90, and 120 days each week
Billing & RCM Companies

A new client signs, and its A/R report arrives with months of unworked balances. Your team is already full, and the client expects to see the number come down.

What we do

  • Triage inherited A/R by age, payer, and balance
  • Work the oldest recoverable balances first, before they time out
  • Log every payer contact in the client's system
  • Show you the aging movement per client every week

How the Work Is Set Up

We log into the software you already use through encrypted remote access, so there's no migration and no new system to learn, and our team works on your hours. Before work starts we write down your rules in a short checklist: how you want things entered, who to ask when something's unclear, and what you want reported back. Questions go on a list for you to answer. We don't guess.

Every service can be started alone or combined with the others. Pricing is Dedicated FTE, Flat Retainer, or Hourly at $10 per hour, and never a percentage of what you collect. See How We Help.

Common Questions

Do you call payers, or patients too?

Our A/R calling is payer follow-up on unpaid claims. If you want us to handle patient balance calls as well, that gets agreed in writing first, with a script you approve.

What happens to claims that can't be collected?

They get a clear note: what the payer said, what was tried, and what the options are. Write-offs are always your decision.
