Eight Services, Four Stages of the Revenue Cycle
Each stage feeds the next, so a problem caught early doesn't turn into a bigger one later. You can hand us all of it or just the piece that's behind.
- Stage 1
Patient Access
Get the patient scheduled, verified, and entered correctly, before anything downstream can go wrong.
- Appointment SetupBookings, recalls, and insurance details captured at the first call.
- Eligibility & Benefits VerificationCoverage and benefits checked and noted in the chart before the visit.
- Patient DemographicsPatient and insurance details entered accurately the first time.
- Stage 2
Claim Preparation
Turn the visit into a claim that can be paid the first time.
- Charge EntryProcedures and diagnoses entered the way the provider documented them.
- Claims SubmissionClaims checked, attached, and sent daily, with rejections worked right away.
- Stage 3
Claim Resolution
Go after what wasn't paid automatically: denials and aging balances.
- Denial ManagementDenials corrected, appealed when it makes sense, and tracked to their cause.
- A/R CallingUnpaid claims followed up until they're paid, denied, or escalated.
- Stage 4
Payment & Reporting
Close the loop on the record, so what you see matches what was paid.
- Payment PostingPayments and adjustments posted accurately and tied to the deposit.
What Each Service Looks Like for Each Kind of Client
The task name stays the same. The details don't. Here's the first thing we do on each service for each kind of client, and each service page goes into the rest.
| Service | Dental practices & DSOs | Medical practices | Billing & RCM companies |
|---|---|---|---|
| Appointment Setup | Book new patients and fill open hygiene and doctor time from your recall list | Schedule by provider and visit type, with the time the visit really needs | Answer and schedule under your client's name, following that client's rules |
| Eligibility & Benefits Verification | Confirm active coverage, deductible, and annual maximum remaining | Verify active coverage and whether your practice is in network | Verify against each client's own checklist, not a one-size routine |
| Patient Demographics | Set patient, subscriber, and guarantor correctly, including kids on a parent's plan | Match the registration, the card, and the payer response before billing | Follow each client's entry conventions from a written checklist |
| Charge Entry | Enter CDT codes with the right tooth numbers, surfaces, and quadrants | Enter CPT and ICD-10 codes as the provider selected them | Take charges in the format each client already uses |
| Claims Submission | Scrub each claim for missing codes, tooth numbers, and subscriber details | Scrub claims on the professional claim format before they go out | Submit on each client's schedule, through that client's clearinghouse |
| Payment Posting | Post ERAs and EOBs, with contractual write-offs applied by plan | Post 835 remittances line by line, with adjustments coded correctly | Post by client, using each client's deposit and posting rules |
| Denial Management | Sort denials by reason: missing information, frequency, coverage, timing | Read each denial code and route it to the right work queue | Work denials client by client, under each client's rules |
| A/R Calling | Work the aging report from oldest and largest down to newest | Check claim status on the payer portal first, and by phone when that falls short | Triage inherited A/R by age, payer, and balance |
Every service is available as a Dedicated FTE, a Flat Retainer, or Hourly at $10 per hour. See How We Help.
Why It Helps to Have One Team on the Whole Cycle
A missed eligibility check shows up later as a denial. A demographic error at intake shows up as a rejected claim. When separate people handle those steps and nobody sees the whole picture, the fix lands on whoever notices last. When one team works the full sequence in the same system, problems get fixed where they start.
Common Questions
Do I have to hand off everything?
No. Plenty of offices start with the one piece that's furthest behind, like A/R calling or denials, and add more later. Scope is agreed up front either way.
Is the work different for dental and medical?
Yes. Dental billing runs on CDT codes, frequency limits, attachments, and PPO write-offs. Medical billing runs on CPT and ICD-10 codes, modifiers, prior authorizations, and payer-specific timely filing. Each office gets its own written checklist.
Can a billing company use you for just some of its clients?
Yes. Many start with one client or one task. You decide when to add more.
What hours does your team work?
Yours. Our team works on your time, so you reach us during your business day and questions get answered while your office is open.
Who do we deal with day to day?
A consistent team, not a different person every time. On the Dedicated FTE model, it's a named person working set hours for you.
